Our process includes casting a wide net in your market of choice by submitting RFP's (Requests for Proposal) to a number of potential hotel options that meet your criteria. From there, we gather and organize all of the proposals that are submitted, narrow the choices down to the top 4-6 options, set up site visits, and find the perfect spot for your event! We create side-by-side comparisons so you can see how the hotel options stack up based on their room rates, amenities offerings, special considerations, meeting room availability, food & beverage minimums, reception space, AV discounts, attrition rates, proximity to local attractions and airports, and a slew of other details you prioritize for your group…all the way down to the height of the ceilings and whether you have refrigerators in your hotel rooms! There is no detail too small when considering the comfort and experience of your guests.
Once the perfect hotel is selected—the one that offers the right mix of pricing, amenities, room availability, and fits best with your company culture and the aesthetic you are hoping to accomplish—we will negotiate and finalize the hotel room rates and arrange for the hotel to submit the contract for you to review and sign.

Sometimes your event is best suited not in the hotel where guests are staying, but in a nearby conference center, special event venue, outdoor arena, restaurant, or office building. If that is the case, and you would like additional help sourcing and securing your venue for the event, we can do that too! Lott Entertainment can find venues in any city where you are hosting your event. We offer customized planning packages, meeting planning packages, and full-service planning that can include venue sourcing outside of the hotel where your guests are staying. We utilize the same tools to find the perfect event space and can include it in any planning package scope we put together for your business.
